Business Office Administrative Assistant

St. Mary Parish in Appleton is looking for a dynamic, organized, and engaging Administrative Assistant. This role is responsible for the activities of the front office including reception and phone calls, mailings, calendars, parishioner data, and supporting the team in their ministries. The person in this needs to be skilled in using office productivity software such as Word, Excel, email, and Google Calendar. An aptitude for learning new tools is critical. to be successful in this position. We utilize a number of applications unique to our work such as Gabriel, Flocknote, and Vimeo.

JOB DESCRIPTION:  Business Office Administrative Assistant

PURPOSE:  To provide secretarial and administrative support to Parish Staff.

DUTIES: Act as the primary reception for the Parish Office including managing the volunteer receptionists. Coordinate the regular and bulk mailings. Use the Gabriel system to input and update parishioner information. Assist the business administrator with tasks related to the offertory and bank deposits. Aid the ministry team with projects and activities related to faith formation, discipleship, stewardship, and more. Support the pastor in his daily activities.

QUALIFICATIONS: To perform this position successfully, an individual must demonstrate regular, predictable attendance and be able to perform each essential duty satisfactorily. They must conduct themselves in a manner, which is consistent and supportive of the mission of the parish while maintaining confidentiality.  The individual must be able to successfully pass background checks. SCHEDULE AND BENEFITS: This is an 80% hourly position with regular hours scheduled Monday to Thursday. The position is benefits eligible including health, vacation, retirement, and Xavier Catholic Schools tuition discount.
